How do I add a data subject?

A data subject is any individual whose personal data you process. You must register them in DataShield HQ before recording consent or handling requests on their behalf.

Steps

  1. Log in to your DataShield HQ workspace
  2. Click Data Subjects in the left navigation menu
  3. Click the Register New Subject button in the top right
  4. Fill in the following details:
    • Full name — the individual's full legal name
    • Email address — used to identify the subject uniquely
    • Notes — any additional context (optional)
  5. Click Save

The data subject will now appear in your registry and is ready for consent recording or request handling.

Notes

  • You must be logged in as an Administrator, DPO, or Operator to add data subjects
  • Viewers can see the registry but cannot add or edit subjects
  • A data subject cannot be permanently deleted — they can be deactivated to maintain your audit trail
